Sponsorship Application Guidelines

Guidelines for Application

NSW Health has a wide and varied portfolio of sponsorships, which can provide excellent opportunities to send pro-active health messages to the people of NSW.

Sponsorship is defined by NSW Health as a contribution from NSW Health to a private sector or community organisation in support of an event or activity. Sponsorship is a business arrangement designed to provide real benefits to all parties.

NSW Health will assess requests on the ability to provide tangible evidence that improved health outcomes for particular target audiences will result.

The decision to sponsor involves the agreement of NSW Health to be publicly associated with a particular event, forum or activity and as such the decision to sponsor is not made lightly.

These guidelines contain information for organisations preparing sponsorship proposals for NSW Health.

All sponsorship requests are subject to a stringent approval process, ongoing management and extensive evaluation to ensure communication opportunities are maximised.

What will be considered for sponsorship

NSW Health will consider sponsoring activities, events or services that:

  • change or influence behaviours leading to better health
  • demonstrate tangible results in communicating health messages to the public (usually large populations and inclusive of Aboriginal and Torres Strait Islander communities and culturally and linguistically diverse communities)
  • increase awareness of the role of NSW Health
  • potentially attract significant media coverage
  • ensure sufficient resources are available to enable benefits to be delivered
  • incorporate evaluation mechanisms which can provide evidence

What will not be considered for sponsorship

NSW Health will not consider sponsoring:

  • activities whose main focus is outside the state of New South Wales
  • organisations receiving support from or linked to tobacco or alcohol companies
  • organisations deemed to conflict with the role of NSW Health and/or core business
  • individuals or unincorporated groups
  • commercial enterprises aimed primarily at private profit
  • fundraising events
  • organisations which have not fulfilled previous sponsorship obligations
  • activities which do not offer opportunities for health promotion and subsequent health benefits
  • requests for locally based sponsorships (these should be addressed to the Area Media Liaison Officers in the appropriate Area Health Service).

Application Requirements

When assessing a submission for sponsorship NSW Health will evaluate how involvement with the organisation will help us reach more people with key health messages.

All proposals should detail the following information:

Background

  • brief background of parent company , including whether a non government organisation

Sponsorship details

  • concise description of the sponsorship opportunity
  • history and objectives of sponsorship
  • past involvement in the event by NSW Health
  • sponsorship funds sought
  • list of benefits
  • level of exclusivity offered
  • list of current or confirmed sponsors
  • list of dates of events and location/s
  • start and finish dates of sponsorship
  • target audience and number of people expected to participate or form the audience
  • strategies to launch, publicise and promote the sponsorship, including television, radio and press coverage and use of personalities for promotional activities
  • details of additional activities NSW Health could participate in
  • contact person

Financial information

  • ABN number
  • budget containing all major expenditures and income

Evaluation mechanisms

  • evaluation method for measuring impact and success of sponsorship investment
  • evaluation method for measuring changes in attitudes and behaviour specifying expected outcomes as a result of the sponsorship

Additional information

  • actions the organisation takes to create a healthy environment for example SmokeFree areas, responsible service of alcohol or healthy food choices

Proposals should not exceed five A4 pages.

Evaluation of applications

The Sponsorship Assessment Committee, with representatives from within NSW Health, evaluates all proposals for sponsorship to ascertain the appropriateness and level of exposure for key health messages.

Proposals will be assessed using the following criteria:

  • assessment of the public health importance of the suggested health issue in relation to overall health priorities - as defined by NSW Health
  • range of expected tangible benefits to be received
  • relevance of activity to core business of NSW Health
  • ability to leverage sponsorship through a wide range of benefits and exposure opportunities including naming rights, signage, advertising, public relations activities and merchandising
  • reputation of the organisation seeking sponsorship and potential to provide benefit to or conflict with the corporate objectives of NSW Health
  • social acceptability of sponsorship and ability to elicit community service support
  • conflict with other supporting activities
  • costs involved
  • extent to which sponsorship performance and suggested benefits can be assessed.

Sponsorship obligations

All successful sponsorships and agreed benefits will be notified in writing.

For sponsorships under $30,000 a letter of agreement will be issued.

For sponsorships over $30,000 a formal contract containing conditions of sponsorship and respective roles of both parties will be required. 

Contracts will not exceed a period of 12 months.
