Position title: COVID-19 Vaccination Clinic Registration Manager

Required Job Skills: Supervisory experience, demonstrated communication, clerical and interviewing skills;

LHD Staff: HSM (Level 1), NUM or team leader

Secondary workforce: Others as appropriate

Report to: COVID-19 Vaccination Clinic Manager

Supervise (if activated): Pre-attendance registration team members


To ensure persons attending the clinic have been successfully registered and have received appropriate advice prior to clinic appointment. Ensure clinics have sufficient registrants to maximise use of resources.

Initial actions

  • Sign-on to staff roster, providing contact details
  • Report to and receive assignment from your supervisor
  • Ensure photo ID is clearly visible
  • Introduce self to all staff assigned to team
  • If unable to perform any of the duties in the job action sheet, clarify issues of concern with assigned supervisor
  • Familiarise self with the workstation, resources and emergency procedures
  • Review message form instructions, if provided

Specific job actions

  • Familiarise self with informational materials and forms used by clients
  • Monitor registration to timeslots at the Vaccination Clinic, communicating any areas of low activity pre-emptively to the Clinic Manager
  • Monitor persons who indicate they may not be able to receive the vaccination, including liaison with clinical staff to determine eligibility prior to clinic attendance
  • Coordinate the provision of information, material and forms to clinic attendees
  • Refer clinical matter to Clinical Medical Officer/s
  • Give Clinic Site Manager feedback about what is working well and what is not working well

Conclusion of work shift actions

  • Complete or copy forms, reports and other documentation as requested by supervisor
  • Clean up work area before leaving
  • Brief on-coming staff at shift change on specific job position duties, ensuring that ongoing activities are identified and that follow-up requirements are known before leaving
  • Sign off and log the hours worked
