Position title: COVID-19 Vaccination Clinic Stage 3 Manager

Required Job Skills: Authorised to immunise under NSW Poisons & Therapeutics Good Act, extensive knowledge and experience of immunisation clinical issues, and basic knowledge of communicable diseases. Supervisory experience, demonstrated skills in verbal and written communications,

Staff: ANI with experience as clinical manager, clinical team leader, staff health nurse manager

Report to: COVID-19 Vaccination Clinic Site Manager

Supervise (if activated): Stage members


The Stage 3 Manager is responsible for ensuring that the clinical standards and overall management of Stage 3 activities meet the stated mass vaccination clinic operational plan strategies and objectives, directly supervising clinical aspects of clinicians, first-aid volunteers, and administrative personnel within the clinical area, including the first aid area.

Coordinate and oversee the operations of Stage 3 including personnel sign-in, assignment to positions, orientation, and deployment and material resource sign-in, assignment, and deployment.

Initial actions

  • Sign-on to staff roster, including personal contact number
  • Ensure AHS photo ID is clearly visible
  • Attend Centre briefing at time specified prior to commencement of the mass clinic
  • Alert supervisor if unable to perform any of the duties in the job action sheet. Clarify any issues or concerns with supervisor
  • Familiarise self with the work station, emergency procedures and resources including:
    • Physical layout of work space (eg: emergency exits, toilets)
    • Check workstation phone and computer

Specific job actions

  • Review clinic operational plan, and operational period organization chart
  • Assist with activation of clinic site and workstations
  • Contact and coordinate staff identified as being allocated to their Stage to determine rostering, transportation, meeting times and roles
  • Attend pre-clinic staff training for Stage 3 staff, for the review of clinical procedures and protocols
  • Coordinate staff orientation and training where necessary
  • Coordinate the clinical team, overseeing all activities
  • Ensure all occupational health and safety principles and infection control guidelines are adhered to as per NSW health policies; document any work-related illnesses or injuries of Stage personnel
  • Support pharmacist maintenance of the vaccine cold chain (VCC) and other clinical equipment, including receipt, transportation, storage and inventory of vaccine and equipment, before, during and after the clinic
  • Monitor recovery area regularly for any clients who require clinical assessment post vaccination and that first aid staff are managing patient flow
  • Oversee and ensure that all clinical incidents are managed according to NSW Health policy.
  • Liaise with the Clinic Site Manager regarding identified changes to SOPs
  • Provide regular data updates to the Clinic Site Manager
  • Document on job action log, any unanticipated problems, and how these were resolved

Conclusion of work shift actions

  • Complete all required forms, reports, and other documentation and give to supervisor
  • Brief on-coming staff at shift change on specific job position duties, ensuring that ongoing activities are identified and that follow-up requirements are known before leaving workstation.
  • Sign off and log the hours worked
